Farm Buildings
FARM OFFICE
The farm office is where the farm is run; helping ensure it operates efficiently, profitably, and in an organized way. All the farm information, records are kept in this office.
FARM STALL
Farm stall is a small roadside shop where the Institute’s farm sells fresh produce and farm products directly to the public.
It is used to market items like fruits, vegetables, eggs, meat, and drinks, often providing extra income without going through middlemen.
RED MEAT ABATTOIR
Red meat abattoir is a facility where large livestock such as cattle, sheep, and goats are humanely slaughtered and processed.
Its purpose is to produce beef, mutton, or goat meat under controlled, hygienic conditions that meet food safety standards.
VETERINARY CLINIC
A vet clinic on a farm is used for animal healthcare. It is where sick or injured animals are treated, vaccinations are given, and routine health checks or minor surgeries are performed to maintain herd health and productivity.
SHEARING SHEARD
A shearing shed is a building where sheep are shorn. It is designed for efficiency and cleanliness, often including holding pens and workstations for shearers.
The wool is collected, sorted, and prepared for sale in this building.
SHEEP KRAALS
Sheep kraals are enclosed pens used to keep and manage sheep. They are used for handling, sorting, counting, overnight protection, and sometimes feeding.
Kraals help protect sheep from predators and make it easier to work with them.
WHITE MEAT ABATTOIR
A white meat abattoir processes smaller animals like chickens. It is used to slaughter and prepare meat in hygienic conditions for human consumption.
HAY BARN
A hay barn is a storage structure used to keep hay dry and protected from rain and moisture.
Hay is stored as animal feed, especially for times when pasture is unavailable (e.g., winter or drought).
FEEDLOT
A feedlot is a confined area where livestock, where cattle are fed a high-energy diet to promote rapid weight gain before slaughter.
It was used by the community farmers to finish animals efficiently and prepare them for market.
PIGGERY
A piggery is a facility where pigs are raised and managed. It includes housing, feeding areas, and waste systems.
It is used for breeding, growing, and fattening pigs for pork production.
DAIRY
A dairy is a facility where milk-producing animals are kept and milked. It includes milking parlours, storage tanks, and processing equipment.
Its purpose is to produce and store milk for sale or further processing into products like cheese and butter.
Farm Staff
Overview
PURPOSE
The purpose of this position is to provide overall administrative support services to the Institution Farm and Farm Manager.
KEY PERFORMANCE AREAS
General Support Services and Farm Administration:
- To provide administrative support with regard to mailing, printing, filing, typing and other general administrative tasks.
- Reviews, edits and reconcile discrepancies in reports, purchase orders, correspondence, requisitions, records and other documents.
- Implement and maintain a filling system for transport records and log sheets.
- Ensure the safe keeping of vehicle keys and records for the vehicle of the unit.
- Ensure that trip authorities for special trips and emergences are issued for authorised drivers.
- To provide accurate weekly reports on sales to farm managers as requested.
- Consolidate daily, weekly and monthly reports from supervisors using agreed template.
- Collects and maintains production data and statistics for the farm.
- Efficient management of farm resources by rigorously tracking in and out-flow of chemicals, fertilizers, seeds, harvested crops, vaccines, animal feed, etc.
- Handle confidential documents ensuring that they remain secure and maintain paper records ensuring information is organized and easily accessible.
- Supply stock control sheets to supervisors/farm enterprises.
- Managing the dairy of the Farm Manager.
- Assist with the monitoring of the leave and signing of attendance registers.
- Assist supervisors with keeping records of livestock and crops.
- Compile a calendar of all internal and external farm meetings.
- Compile agendas for all farm staff meetings.
- Attend meetings and record all discussions and resolutions (minutes).
- Make logistical arrangements and preparations for all farm meetings.
- Relief duties at farm stall and stores.
- Undertake additional duties commensurate with the post as may reasonably be requested from time to time.
Financial and Supply Chain Management & Administration:
- To act as primary point of contact for all stationary needs.
- Maintain an adequate inventory of office supplies.
- To be responsible for inputting all financial transactions, including sales and purchase invoices.
- Ensuring good communication with suppliers.
- To liaise with the accountant on a weekly basis, ensuring that data and information is correct and up to date.
- Coordinate the gathering of quotations based on unique specification requests.
- Liaise with the Institution messenger to expedite the approval of the memoranda.
- Liaise with the finance and creditors & accounts offices to expedite the procurement process.
- Liaise with suppliers/service providers on the delivery of goods and services.
- Maintain records and a filing system of invoices, proof of payment and purchase orders.
- Assist with the monitoring of petty cash utilization and undertake monthly reconciliations for the unit.
Customer Services and Client Liaison:
- Register work requisition request from units.
- Distribute work requisitions to different units.
- Report back on completed assignments and requisitions.
- Receive and screen phone calls and email, direct them when appropriate.
- Respond to general farm enquiries from external clients.
- Liaise with the Institution departments to facilitate agricultural education and
training and research. - Keep records of student/farmer training, research and farm visits.
- Manage the attendance register of students doing practical’s at the farm.
GENERAL ASSISTANTS

PURPOSE
To ensure overall running of the office administration function and provide receptionist support.
DUTIES AND RESPONSIBILITIES
General Work Activities:
- Cultivates, fertilises, spray, irrigates and harvests crop.
- Taking soil samples.
- Maintain pastures.
- Feed and tend livestock.
- Operate and maintains farm machinery and equipment.
- Control weed.
- Cleaning farm premises.
- Stock control.
- Manage waste.
- Maintain roads.
- Detect diseases and health problems in crop and livestock.
- Dips, doses, helps, in conducting TB test and vaccinates livestock.
- Records livestock birth, deaths, and losses, sales and register.
- Prepare produce for the market.
- Clean stables, barns, barnyards and pens.
- Observes working hours and records signature on attendance register.
- Reports any problem or situated regarding livestock and crop production or maintenance to immediate supervisor.
- Report stock levels and equipment required for crop and livestock production or
maintenance. - Must adhere to set task standards to ensure maximum production of crops and. livestock.
- Make efficient use of equipment and material to achieve an optimum level of
utilisation and production. - Adhere to the policies, prescripts and procedures.
Other Important Duties:
- Participates in various committees of the Institute as may be required by
colleagues or immediate supervisor or Principal. - Attend general staff meetings and other official meetings as may be required by
colleagues or immediate supervisor or Principal. - Attend and participate in Diploma Day and other official functions of the Institute as may be required by colleagues or immediate supervisor or Principal.
- Performs any other task as may be delegated by the immediate supervisor and Principal.
